IRF: 2023 Educational Invitational
The Incentive Research Foundation (IRF) held its annual Educational Invitational, an event organized each year for professionals in the travel incentive industry. This gathering, usually spanning several days, allows participants to engage in networking activities and educational sessions to exchange the latest insights about the travel field.
2023's event was held at Resorts World Las Vegas, a resort hotel that combined luxury and technology with the traditions and time-honored details of the international Resorts World brand. The theme for this year was "Experience the Incentiverse," where part of the experience included river rafting, food tours, helicopter rides, and more.
With the event's branding already established, I utilized mainly red, blue, and purple color palettes, a geometric design style, and a typeface that emphasized a "technology-centered" theme. My next task was to design a POE (Program of Events) and a SAAG (Schedule At A Glance), both of which would be part of a mailed package containing various assets to help attendees prepare for their trip to Las Vegas.
The POE was designed to feature an activity-packed agenda that attendees could look forward to during their stay. With a final size of 4.25" x 6.25", fitting this extensive schedule into the limited space was challenging, but manageable. I incorporated the high-quality imagery provided by the IRF throughout the booklet to enhance excitement and anticipation for this exclusive event as readers turned the pages. A geometric-triangle design was consistently used across the pages, from cover to cover, along with the repeated phrase "Experience the Incentiverse" throughout the booklet.
The greater challenge was managing the design and layout of the Schedule At A Glance, a compact, folded brochure meant to be placed in the back of each attendee's lanyard badge, which they would wear during the event. This allowed them to avoid having to carry their POE and provided a handy pocket-sized agenda that fit into the badge they were already wearing. The SAAG featured the main activities and times throughout the event days. Typically, it spans only a few panels in width; however, this year's SAAG faced the additional task of incorporating several tear-off "vouchers" for attendees to exchange at various locations around the event site for gifts from different partners and sponsors. Despite its finished size being only 3.125" x 3.75", with 11 panels to fold, it expanded to a flat size of 34.375" x 3.75" — nearly 3 feet long!
